How WebDisk Files works
A quick guide from buying a plan to sharing files.
1. Buy a plan
- Open the "Buy WebDisk Files" link on the login page.
- Enter your company name and email, choose how many terabytes you need (1–100) and your currency, then pay the monthly subscription securely via Stripe.
- Right after payment your organization is created automatically and an activation email with a set-password link is sent to the address you provided.
2. Activate the organization administrator
- Open the activation email and click "Activate your Account" to set the administrator password (the link is valid for 3 days).
- Sign in with the administrator account. The administrator manages their organization: its users and storage.
- A global administrator can also create organizations manually and re-send the activation link when needed.
3. Create user accounts
- As the organization administrator, open the "Organization" panel.
- Create a user with a username and either a password, or an email address — with an email the user receives a set-password link to activate their own account.
- Assign each user a "magazyn" (their private storage bucket). The user can then sign in, organize files into folders, upload and download them.
4. Share files
- Any user can create a share link for a file, optionally protected with a password, an expiry time and a download limit.
- Share links can be emailed directly from the app; you can see who each link was sent to and resend it at any time.
5. Protect your data: encryption and anti-ransomware
- On-demand encryption is switched on once by the organisation admin, in the "Organisation" panel. WebDisk then generates a recovery key and shows it exactly once — download it and keep it safe, because without it encrypted files cannot be recovered.
- With that on, any user switches a whole magazyn with the "Encrypt files" button, or a single folder with the folder encryption option. It applies to new uploads: files already encrypted stay encrypted, so plain and encrypted files can sit side by side in one magazyn. The file list shows which ones are encrypted.
- Permanent encryption (SSE-S3) is chosen when you create an additional magazyn. From then on every file — from the panel, from the desktop app, from sharing — is encrypted by the storage server itself. There is no key for you to lose, but it also cannot be switched off or added later, and the "Encrypt files" button is inactive in such a magazyn because there is nothing left to add.
- Which one: on-demand when you want to hold the key yourself and be able to turn it off; permanent when you want a guarantee that nothing lands there unencrypted. One caveat for S3 access from external tools (aws-cli, rclone, the desktop app): on-demand encrypted files are readable only if the tool supplies the recovery key, while permanently encrypted files need no extra step.
- Anti-Ransomware is separate protection: it locks every version of a file for 90 days up to 7 years, so nobody — including you — can delete or overwrite it before that time is up. It is not encryption, and it combines with either kind. On the magazyn tabs 🔒 means encryption, 🛡 Anti-Ransomware, ♻ auto-rotation; an Anti-Ransomware magazyn is always private.

Where are my files stored?
On our infrastructure located in Europe, with full GDPR compliance. Data never leaves the EU.
How is this different from WebDisk's Nextcloud?
Files is a simple network drive — storage and sharing, billed per TB, on an open S3 backend. Nextcloud is a full collaboration platform (calendar, contacts, online office) on a dedicated server with a panel to scale capacity. Need more than just a drive? See WebDisk Nextcloud.
Is there a desktop app? Can I work without the browser?
Yes — WebDisk Desktop for Windows and Linux; the macOS build is on the way. It sits in the system tray and keeps a folder on your computer in two-way sync with your storage, so files are on your disk and available offline. If you would rather mount the storage without keeping local copies, use any S3-compatible client (rclone, for instance) with the connection details from the panel.
Can I scale storage up or down?
Anytime. You pay only for the TB you have currently purchased, with no penalty for changes.
How much does it cost and how am I billed?
One price per terabyte per month — no tiers and no entry fee. You choose between 1 and 100 TB when you buy, billing is monthly, and there is no fixed-term contract: you can cancel whenever you like. Prices are net, VAT is added at checkout.
Can several people use one subscription?
Yes. The organisation administrator creates user accounts in the panel and assigns each one its own magazyn — a private storage area only that user can reach. Everyone works inside the space the subscription covers, the admin sets a quota per user, and files can be shared between people in the organisation with read, write or delete rights.
How do I send a file to someone outside my organisation?
Create a share link for a file or a folder. The link can require a password, expire on a date you choose and stop working after a set number of downloads. You can e-mail it straight from the app, see who each link went to, and resend it later.
Are my files encrypted?
In transit, always — every connection runs over TLS. At rest there are two options, and you choose. On-demand encryption is enabled once for the organisation; WebDisk shows you a recovery key exactly once, and from then on you switch encryption on for a whole magazyn or a single folder, and can switch it off again. Permanent encryption is picked when you create an additional magazyn: the storage server encrypts every file that lands there, with no key on your side, and it cannot be turned off later.
Can I recover a file I overwrote or deleted by accident?
If versioning is on for that magazyn, yes — we keep the recent versions of each file, and you restore the one you want from the file list. Versioning is switched on per magazyn, so turn it on before you need it.
What is Anti-Ransomware protection?
A magazyn you create with Anti-Ransomware locks every version of every file for a period you set, from 90 days up to 7 years. Nothing can delete or overwrite those files before the time is up — not an intruder, not the administrator, not us. It is enforced by the storage layer rather than by the application, which is what makes it survive the application being compromised. It is separate from encryption and works alongside either kind.
Can I use my own tools, or am I locked in?
Underneath it is standard S3 storage, not a closed silo. The panel gives you the endpoint and access keys, so anything that speaks S3 works — rclone, Restic, Veeam, aws-cli, your own scripts — and you can back a NAS straight up to it. That is also your way out: the same tools that put data in can take it out, without asking us for an export. (One caveat: files encrypted with the on-demand option are only readable by an external tool if it supplies the recovery key.)
